Subject: Action Required: Final decommissioning of mail.tomahawk.ca
As we have discussed in the past, our legacy mail server has been slated for decommissioning as our business has evolved into a specialized SaaS parking provider. While we have been happy to maintain your legacy email accounts during this transition, recent events have made it necessary to establish a firm timeline for this shutdown.
As you may know, a security vulnerability caused a service interruption over the weekend. Our team worked directly with the software vendor throughout the weekend to apply a patch to the legacy software and get your email back online. However, this patch is only a temporary fix that is valid for 75 days.
To maintain the security of your data, the legacy mail server will be decommissioned on Friday, May 8, 2026.
The reality is that we can not offer the level of email service, security, and uptime provided by specialized email hosts. Moving your email to a dedicated platform is the best way to ensure your business communications remain secure and reliable going forward.
Recommended Transition Paths
We recommend moving to one of the following dedicated email specialists:
- Microsoft 365: Best for businesses already using Word, Excel, and Outlook.
- Google Workspace: Excellent for collaboration and high-reliability cloud storage.
- Rackspace or Proton Mail: Great “email-only” alternatives if you don’t need a full suite.
- check the selected vendor for migration details
Next Steps & How We Will Help
- Choose a new provider and set up your new, empty accounts.
- Migrate your historical data. Your new provider (or your IT support) will likely use standard migration tools to copy your old emails over from our server.
- Coordinate the switch with us. Since we still manage your domain’s DNS, we are happy to handle the final cutover for you. Simply send us the new DNS records provided by your new host (MX, TXT, etc.), and we will update them so your new email starts flowing immediately.
Expected Questions
Does this only affect my email? Yes. (plus a small change to DNS)
Can Tomahawk assist with the migration? Yes, to a certain extent. As noted, most providers offer tools to migrate data. Using IMAP, multiple accounts can be connected to a server at the same time.
What is the process so that I won’t miss any emails? In short, you will point your new email provider at our server (mail.tomahawk.ca) to sync the existing data on each of your user accounts. Once synced, DNS is updated so that new email is delivered through the new provider. After that, break all ties to mail.tomahawk.ca
- Sign up with a new email provider
- Connect using vendor IMAP tools to mail.tomahawk.ca; to perform a data sync
- do this for each of your email accounts
- add new provider email account credentials to desktop email software
- Once all account data is in sync, supply email (MX) DNS details to support@tomahawk.ca
- Tomahawk Support will update DNS and all email will flow through your new provider
- after 24 hours; remove any mail.tomahawk.ca references from email clients
Can I move my website and email to another provider? Yes, this may be a good time to consider a website refresh. Most web providers will offer packages for email and web site hosting.
Is Tomahawk shutting down web and email services? No, but we have transitioned out of the web development and hosting space. We are not taking on any new clients and we will continue to support our clients as long as we can. We do recommend moving to a new provider as our business focus has shifted.
We greatly value our long-standing relationship with you. We will assist as best we can with your transition to a new email provider.
